Tracking customer payments: amount, status and source

Organise payments taken by phone and link: find the customer, spot pending requests and avoid unnecessary reminders.

The essentials

Useful payment tracking answers four questions: how much, what for, when and with what result? Keep confirmed payments, pending requests and refunds distinct. Use a consistent reference to find the same job whether it was paid on a phone or through a link.

Read the status before the total

A request sent is not money collected. Start with confirmed payments for your chosen period, then review pending requests separately. If refunded transactions are included, make sure you understand whether the displayed total is gross or net.

Dates matter too: a working day, payment date and bank payout date describe different events. Choose the date range according to the question you need to answer.

Give transactions a useful reference

A description and invoice reference are often more useful than a series of first names. Use a simple format such as “F-024 — repair” or “Saturday workshop — registration”. Avoid private details that do not help identify the payment.

If contact details are collected for a receipt, they should help identify the customer in that transaction. Do not assume every payment includes a name: also keep the amount, date and reference.

Close the day with three checks

Spend a few minutes on exceptions rather than rereading every payment. Look for open requests, uncertain outcomes and mismatches with invoices. If several team members take payments, assign someone to the final review.

  • Confirmed payment: match it to the correct job.
  • Pending request: check for payment by another method before chasing.
  • Uncertain result: check the transaction or contact support before trying again.

In practice

One customer, two payments

Fictional example: a €100 deposit is paid by link and a €200 balance in person. Keeping the same quote reference explains the €300 received without mistaking the two transactions for a duplicate.
