Payment receipt and invoice: what is the difference?

Understand what a receipt does, which customer details to collect and how to connect it to an invoice after a phone or link payment.

The essentials

A payment receipt confirms a payment. An invoice describes a sale or service and must meet the rules that apply to it. Do not automatically present the receipt sent after payment as an invoice: connect both documents to the same transaction where needed.

A receipt answers “have I paid?”

Customers usually need the amount, date, business name and a reference. A clear receipt helps locate the transaction if they have a question later. It should reflect a confirmed payment, not just a request sent.

After a refund, keep the link between the original payment and refund transaction. The old receipt alone no longer describes the current position.

An invoice answers “what was sold?”

In France, Service Public details invoice requirements, including identification, numbering and sale information. Use your invoicing tool to create the document appropriate to your situation; calling a payment confirmation an invoice does not make it one.

A deposit and balance can mean several payments for one project. Keep a reference that connects the business document to the related payments.

Ask only for useful contact details

If the customer wants an email receipt, check the entered address and associate it with the relevant transaction. Keep the receipt request separate from marketing sign-up. An address provided for a receipt should not be treated as implicit advertising permission.

Do not copy card data into the description or customer notes. The payment reference and amount are more appropriate for finding it.

In practice

A customer asks for a receipt later

First find the payment using the date, amount and reference. Check the recipient, then use the available receipt function. If they need an invoice addressed to their business, handle it through your invoicing process.
