Request a deposit by payment link, then collect the balance

Explain the deposit, send a request for the correct amount and keep one reference through to the final balance.

The essentials

To request a deposit, first define its nature, amount and the project terms in your business documents. Then send an identifiable payment request. When collecting the balance, deduct only funds actually received and keep the connection to the quote or invoice.

Agree the terms before sending a link

In France, an acompte and arrhes have different consequences if the agreement is cancelled. Service Public explains this distinction. A payment button does not decide the legal nature of the amount for you: describe it correctly in the quote and request.

No deposit percentage fits every business. Consider what was agreed, any purchases needed and the organisation of the project. A clearly agreed amount is more useful than copying a formula from another trade.

Separate the deposit and balance requests

Label the first request “Deposit — quote [reference]”. Keep the same reference for the balance with a distinct description. The customer should immediately understand that this is not a second request for the full amount.

Before sending the final request, check confirmed payments, any quote changes and refunds. Do not deduct a deposit simply because you sent a link.

Choose the right moment to take payment

A link is useful for a booking or advance preparation. The balance can be paid in person when the work is finished or by another link if the payer is absent. This practical choice does not change the agreed due date.

Keep records for each stage. A payment receipt records a payment; business documents explain what it pays for and the associated terms.

In practice

A €600 project

Fictional example: a quote specifies a €150 deposit and €450 balance. The customer pays €150 by link. At delivery, locate that payment and request the remaining €450 with the same reference. Together, the two payments settle the project.
