Payment reminders: messages and a practical method
Check payment before chasing. Then send a clear message with the invoice, amount, due date and link without duplicating requests.

The essentials
A good reminder starts with a check: did the customer pay by link, in person or by transfer? If money is still owed, state the service, reference and remaining amount. Use a polite message and a current link rather than a new request without context.
Check the facts before messaging
Compare the invoice with confirmed payments and any deposits. An open link does not prove an invoice is unpaid: the customer may have used another method. Also check the recipient, particularly when your business contact is not the person making payment.
First reminder: include the useful details
“Hello [name], unless we have missed it, payment of [amount] for invoice [reference], due on [date], is still outstanding. Here is the link: [link]. If you have already paid, please let us know the date and method so we can check. Thank you.”
Avoid asking for a card photo or a full bank statement. A date, amount and reference are often enough to start investigating.
If there is a problem, clarify before repeating
The customer may report an expired link, incorrect amount or disagreement about the service. Address that reason before repeating the same reminder. If you agree a new due date, record it so the team works from the same information.
A friendly reminder is not a substitute for formal dispute procedures. Do not announce penalties or legal consequences based solely on a message template.
In practice
The customer says “already paid”
Pause the reminder and look for the payment using the details provided. If you find it, confirm receipt and close the request. This prevents a reconciliation delay from becoming a poor customer experience.
