Refunding a customer payment: checks that matter

Find the original transaction, check the refundable amount and follow the result to avoid duplicate refunds.

The essentials

To refund a customer, start with the confirmed payment in your records. Check previous refunds and the remaining amount. Use your provider’s refund flow and then check its status: submitting a request does not always mean the refund is immediately completed.

Find the correct payment

Compare the amount, date, reference and available customer details. When several payments relate to one project, identify exactly which one should be refunded. Do not rely only on a first name or the most recent visible transaction.

Also check that you have refund permission. Someone allowed to take payments is not necessarily allowed to refund them.

Choose the amount, then confirm once

Depending on the solution and circumstances, a refund may be full or partial. Check amounts already refunded, record a useful reason and review the summary. Do not resolve uncertainty by starting a refund and a manual bank transfer at the same time.

Processing can depend on available balance and provider rules. Stripe’s documentation, for example, describes pending and failed refunds. Check the terms of the service you actually use.

Tell the customer what is confirmed

Distinguish “refund requested” from “refund completed”. State the actual status and provider guidance without inventing a bank credit date. If the result is pending, monitor the same operation rather than creating another.

Keep the connection to the invoice and any corrective documents needed for your records. A bank refund does not automatically update all business documents.

In practice

A partial refund

Fictional example: €30 must be returned from a €120 payment and there have been no previous refunds. Check those details, submit the €30 refund and monitor its status. The original payment stays identifiable with its associated refund.
