Taking payments as a team: access, phones and tracking

Organise payments across a team: individual access, useful permissions, shared references and removing a departing member.

The essentials

Team payment acceptance means knowing who can take payments, who can refund them and who can view overall activity. Prefer individual access, a shared reference convention and someone responsible for tracking. An extra phone should not create an isolated record or an improvised personal account.

Give each person the access they need

A person taking payments in the field does not necessarily need to change bank details or manage access. Define responsibilities before sending invitations and check which permissions your solution actually offers.

For an event, also plan the end of the assignment: who removes temporary volunteers’ access, and when? It is easier to decide before the event than after a phone is lost.

One phone per person is not the whole setup

Each device must support the payment app. Each person should know how to find a transaction, recognise an uncertain outcome and ask for help. Demonstrate the authorised flow without sharing the manager’s credentials.

  • Check the selected business account.
  • Confirm the amount and reference before each request.
  • Know whom to contact for a decline or refund.

Use consistent references in your records

Choose a reference everyone understands: quote number, job or event. Avoid each person inventing their own abbreviations. The manager can then match a deposit paid by link with a balance collected by another colleague.

Do not treat payment attribution as an automatic performance measure: one person may prepare the request and another finish collecting it. Tracking primarily helps explain the transaction and respond to the customer.

In practice

Two colleagues on the same job

Fictional example: the office requests a deposit and a technician takes the balance. A shared quote reference connects the two payments. Payout details belong to the business, not to whichever phone was used.
