What reference should you put on a payment request?

Invoice, quote, name or service: choose a short, useful reference to find payments without collecting unnecessary information.

The essentials

A payment reference should help the customer recognise the request and your team identify the job. An invoice or quote reference with a short description is often enough. A name can help but does not replace a reference when people share the same name.

A format the whole team understands

Choose a simple convention and keep it: “F-028 — maintenance”, “Q-012 — deposit” or “Lesson 18 October”. The field should not tell the whole story; it should provide a useful reference weeks later.

Avoid “miscellaneous” or “payment” if those labels make every transaction identical. At the other extreme, a long service description belongs in the invoice.

Reference and/or customer name: keep it useful

When the customer fills in the field, explain what will help you identify it. For family or business payments, the cardholder is not always the person receiving the service. A job reference avoids relying on the bank account name.

Do not ask for card numbers, security codes, identity documents or medical details in this field. They do not help reconcile a routine payment.

Connect the deposit and balance

Keep the same project reference with a clear suffix: “Q-012 — deposit” then “Q-012 — balance”. Records remain understandable even if the first payment comes through a link and a colleague collects the second in person.

In practice

The next-month test

Read a reference as if you needed to find the job next month without remembering the conversation. If the date, amount and description are insufficient, add a stable reference rather than more personal information.
