Payment received versus money in the bank: what is the difference?
Understand why a confirmed payment may not appear immediately in your bank account and how to track its payout.

The essentials
Payment is the customer’s transaction. Payout is the transfer of funds from the provider to your bank account. These events may have different dates and amounts, especially when one payout groups several transactions or accounts for fees and refunds.
Track two separate stages
First check that the customer payment is confirmed. Then find the related payout in your provider’s records. A customer should not pay again because the bank payout has not arrived yet.
Timing depends on the contract, country, methods and account status. Do not promise the same schedule for all businesses based on one example.
Why the bank amount can differ
A payout can combine several payments. It may also reflect fees, refunds or other contractual adjustments. To understand a difference, use the payout breakdown rather than comparing one customer payment with one bank entry.
Keep three amounts distinct in your analysis: customer payments, fees and the amount paid out. This helps discussions with your accountant without confusing sales with cash movements.
If a payout is delayed
Check its status and estimated arrival date. See whether the provider needs action on the account or bank details. If the stated date has passed, contact support through its official channel with the payout reference.
Do not provide new banking credentials in response to a suspicious message. Open your usual account workspace to check whether the request is genuine.
In practice
Three sales, one payout
Fictional example: payments of €40, €60 and €100 represent €200 paid by customers. The payout may be grouped and reduced by applicable charges. The bank amount should be reconciled against that group’s breakdown.
