Coaches and tutors: collecting payment for sessions and packages
Single sessions, bookings or packages: choose when to request payment and track payments separately from completed sessions.

The essentials
For an independent coach or tutor, payment should reflect the agreement: one session, a booking or a package. A link may work before the appointment; a phone payment may suit the end. Tracking sessions used is separate from tracking payments.
Make the request identifiable
State the session type, date or package reference. If a parent pays for a child, use a reference that identifies the booking without asking for unnecessary personal details in the payment.
State when payment is due and any rescheduling terms in your booking communication. A link does not replace a clear appointment agreement.
Before or after the session: choose a routine
A request sent before the appointment can avoid discussing payment as the customer leaves. In-person payment may feel more natural for a one-off session. Choose what fits your work and explain the flow before the first session.
For a remote lesson, a link allows payment without meeting physically. Check the status rather than relying on a “done” message.
A paid package is not an updated schedule
A payment for five sessions does not show which were completed, cancelled or rescheduled. Keep that information in your scheduling tool or customer record and connect it to the payment reference. Do not assume payment acceptance automatically manages bookings.
For an agreed refund, identify the relevant amount and find the original transaction. This avoids confusing a rescheduled session with money returned.
In practice
A four-lesson package
Fictional example: a customer pays €160 by link for four lessons. Record the payment once; the schedule then tracks the four sessions. Do not create four new €40 requests for those already-paid lessons.
