Photographer payments: deposits, sessions and balances
Organise photography payments with a project reference, separate requests and clear tracking through to delivery.

The essentials
For photography work, set the agreed amounts and due dates in the quote, then create separate deposit and balance requests. A link suits remote payment; a compatible phone can work in person. Delivery and associated rights remain governed by your business documents.
One reference per project
A customer may book several sessions or order extras after the shoot. Use a stable project number and a distinct description for each request. Avoid relying only on the shoot date, which may change.
Describe the deposit’s nature and terms accurately. Do not automatically label every booking payment a “non-refundable deposit”: the agreement needs to be properly established.
Match payment to the project stage
A link avoids meeting solely to pay for a booking. At the end of a session, contactless can support an agreed in-person payment. For a business client, check who is authorised to pay and which reference the request needs.
The payment method should not silently change the schedule or delivery terms. Explain any change before requesting a new amount.
Before delivery, check the correct amount
Match confirmed payments to the project total, including agreed extras and any corrections. A payment notification is not a complete project record.
Keep photos and private customer information out of the payment description. A project reference is enough to find details in your own records.
In practice
An extra after the session
Fictional example: a €400 project has a €100 deposit. The customer agrees a €50 extra. The remaining request is €350, with a description that explains the final €450 total.
